Paula Prince Art — Portrait Commission & Cancellation Policy

Thank you for choosing Paula Prince Art for your bespoke portrait. Each portrait is individually created with care, time, and attention to detail. The following policy sets out the terms for commissioning artwork and cancelling an order.
1. Booking & Commission
A portrait commission is confirmed once the required balance has been paid in full
- Work will not begin until all necessary reference photographs/information have been received.
- Your commission date is not secured until payment has been received.
2. Reference Photographs
Clients are responsible for providing suitable, high-quality reference photographs.
Paula Prince Art will use reasonable judgement when assessing whether photographs are suitable. If additional or better-quality photographs are required, the client will be contacted before work begins.
3. Changes & Amendments
Because each portrait is individually created, minor adjustments may be possible during the process.
Once significant work has been completed, substantial changes to the agreed composition, subject, pose or reference image may incur an additional fee.
Any additional costs will be discussed and agreed with the client before the extra work is undertaken.
4. Cancellation by the Client — No Refunds
Once a portrait commission has been booked and payment has been made, all payments are non-refundable if the client cancels the commission, regardless of whether work has started.
The payment secures the commission slot and covers time allocated to the project, preparation, administration and materials. For this reason, Paula Prince Art does not offer refunds for cancelled commissions.
If a client cancels after work has begun, Paula Prince Art may retain or dispose of the unfinished artwork at its discretion. Any outstanding balance may also remain payable where the agreed commission terms provide for it.
5. Cancellation by Paula Prince Art
In exceptional circumstances, Paula Prince Art may need to cancel a commission. If this happens, the client will receive a refund of any payment made for work that has not been completed.
Where possible, the client will be informed as soon as reasonably practicable.
6. Completion & Delivery
The client will be notified when the portrait is completed.
The client has the option to collect the portrait from Paula Prince Art
Paula Prince Art may offer free delivery to the clients home address if they are within 8 miles of the postcode CM32
Shipping costs, where applicable, will be agreed with the client separately.
Paula Prince Art is not responsible for delays caused by circumstances outside its reasonable control, including delivery or postal delays.
7. Artwork & Intellectual Property
The original artwork remains the property of Paula Prince Art until the commission has been paid for in full.
Unless otherwise agreed in writing, Paula Prince Art retains the copyright in the artwork and may use photographs of completed commissions for portfolio, website, social media, marketing and promotional purposes.
If a client requires a commission to remain private and not be used for promotional purposes, this should be discussed and agreed before the commission begins.
8. Agreement to the Policy
By paying the commission in full, the client confirms that they have read, understood and agreed to this Commission & Cancellation Policy.
Paula Prince Art reserves the right to update this policy from time to time. The policy applicable to a commission will be the version in place and agreed upon when the commission is booked.
